PRIVACY NOTICE
Privacy should be understandable.
This notice describes the RIII Studio website, customer portal and private studio workspace. The Gmail connection described below is an optional feature for the studio's own mailbox. Visiting the website or sending an inquiry does not connect your Google account.
What you send us
When you submit an inquiry or project brief, we receive the contact details, business information, budget preferences and project description you choose to provide. Required fields are marked in the form. Customer accounts also hold project details, service requests and account information used to manage the work.
Where it goes
Submitted inquiries, account records and service requests are stored on the studio's application server so we can understand your request, reply, prepare a proposal and manage the resulting project. The public website and application use hosting providers to serve pages and store application records. Those providers process the technical request information needed to operate their services.
What stays on your own device
The website health check and opportunity calculator calculate results in your browser. If you choose to include a result in an inquiry and submit it, that information is sent with the form. Browser storage also remembers settings such as your theme and may retain a local copy of a brief. The operator's pipeline, notes and some outreach history are stored in the operator's browser; clearing that storage removes the local copy.
The studio Gmail connection
RIII Studio Mailbox connects only rlllstudiosweb@gmail.com. A signed-in studio operator must authorize it through Google. The application rejects a different Google account and does not ask for your Google password.
It requests gmail.send to send an email the operator approves or a reply the operator writes, and gmail.readonly to read the studio mailbox, match replies to conversations and confirm sending outcomes. Read access covers mailbox information beyond replies to messages sent by this application. The sync can import other incoming studio mail and messages sent directly in Gmail; attachment files are not imported into the dashboard.
The application processes the connected address, sender and recipient details, subjects, readable message bodies, dates, message and thread identifiers, and synchronization information. Replies appear in the private dashboard so the studio team can respond, update a conversation and honor requests to stop contact. If the operator enables browser notifications, a reply excerpt may appear in a device notification.
Each new outreach approval covers one email. Replies are written and sent by the operator. Connecting Gmail does not enable automatic follow-ups or automatic replies, and it does not authorize sending to a prospect without the required review.
Use and sharing of information
We use Gmail data to provide the studio's mailbox, conversation history and related workspace features. Google processes messages sent and received through Gmail, and approved recipients receive the messages addressed to them. The application host stores the records needed for these features. Gmail data is not sold, used for advertising, or used by RIII Studio to train AI or machine-learning models.
If the operator uses the optional AI assistant when it is enabled, the question and a limited workspace summary are sent to OpenAI to produce the answer. That summary can include recent outreach or reply excerpts, inquiry details and service-request summaries. This is separate from Gmail synchronization and does not automatically send a response to a business. RIII Studio does not train models on this information.
Storage and access
Gmail authorization tokens are encrypted at rest by the application and saved in private server storage. The encryption key is held in the host's private configuration. Message records, send history, opt-out records and synchronization state are also kept in private server storage. The Gmail inbox is available through the authenticated operator workspace, not the public website or customer accounts. Authorized studio operators can read the messages shown there.
Disconnecting Gmail
The operator can disconnect Gmail in the website's Settings. This removes the saved active connection from the application and stops its mailbox access; it does not revoke the permission recorded in the Google account. To revoke that permission, remove RIII Studio Mailbox from Google account connections. Revoking access or disconnecting does not delete messages already held in Gmail or records previously synchronized to the studio workspace.
Analytics and cookies
The public site's code does not include advertising or analytics trackers. The application uses a session cookie for customer and operator sign-in. Browser storage remembers preferences and workspace data described above. Pages that load fonts from Google Fonts make a request to Google; hosting and font providers receive normal connection information such as an IP address.
Keeping it, and deleting it
The application does not currently apply an automatic deletion schedule. Stored inquiries, project and mailbox records remain until deliberately removed, and backup copies may retain earlier records. There is no fixed retention period published for those backups. Disconnecting Gmail or deleting a message in Gmail does not automatically delete its existing dashboard copy.
Contact us to request access, correction or deletion of information held by the studio. We review those requests manually, including any records needed to honor an opt-out, secure the service or meet applicable recordkeeping obligations. Clearing a browser's storage does not delete records held on the server or in Gmail.
Security
The deployed website uses HTTPS. Customer account passwords are stored as salted password hashes. The operator's login credential and session-signing secret are configured privately on the application host; they are not stored using the customer-account password mechanism. Private routes check the signed-in session and account role. These controls reduce risk but do not guarantee that unauthorized access can never occur.
Questions
Privacy questions, or a deletion request, can go to rlllstudiosweb@gmail.com.
